Managed sales administration

Less chasing.
More time for sales.

A managed service for enquiry preparation and quote follow-up. A first pilot would track what needs a reply and prepare the next message for your team to review and send.

For businesses that sell by quote or proposal: installers, equipment suppliers and project-based B2B teams.

Email Noah about your sales admin

Tell me what you sell, where enquiries arrive and which task takes the most time. If it isn’t a good fit, I’ll say so.

Hi, thanks for getting in touch. Could you send the site postcode, rough timing and any drawings you have?

Questions are illustrative; yours would be set with you. Nothing is sent.

Open to discussing a first pilot

A written scope, a fee agreed in advance and a review of the work.

From an incoming request
to a recorded next step.

A first pilot would cover one part of this workflow. The production version is still being built, with questions and rules to be set for your business.

  1. Capture

Bring enquiries or open quotes in from one approved source.

  2. Organise

Record the facts, missing details, owner and current stage.

  3. Prepare

Draft a request, quote check-in or handoff using your rules.

  4. Review

Flag exceptions for staff. Your team approves and sends each message.

  5. Track

Record what your team did and keep outstanding work visible.

What I’d take on.
What stays with you.

I’d take on the agreed admin. Your team keeps technical advice, pricing and commercial decisions.

Enquiry preparation

Collect the project details your team needs, request missing information and prepare the enquiry for the right person.

Quote follow-up

Track quotes awaiting a response, prepare follow-ups using your approved wording and record the next action.

Sales record upkeep

Keep ownership, status and next actions up to date, so your team can see what has happened and what needs attention.

Exceptions & coordination

Flag questions needing judgement for the right person. Coordinate booking requests where included in the scope; your team confirms availability.

The same core.
Set up for your business.

Glazing, equipment and B2B projects need different questions. They can share the same record, review queue and next-action process.

A useful fit is a business with recurring enquiry or quote admin that justifies managed support. Very low volume or a need for autonomous technical decisions may be a poor fit.

Configured for each customer

Scoped separately

A new CRM connection, large data migration, live voice or substantially different process. Those are assessed before a setup or price is promised.

Try the workflow demo

Want to see it on your own process? Ask for a short worked example, using invented data.

The demo runs on fixed rules in your browser. It sends no messages and connects to no live systems. Use fictional details only.

An example quote follow-up

“Hi Sam, just checking you received the quote for the doors at the back of your extension. Let me know if you have any questions.”

Draft for review

Illustrative follow-up for a quote awaiting a reply, ready for your team to review and send.

Start with the process
you actually have.

A pilot starts with one useful part of your process. Scope, fee and review criteria are set before any work begins.

You’d deal
with me directly.

I’m Noah, founder of Conduvara. The production workflow is still being built, and I don’t have customer case studies yet. A first pilot would configure and test a defined part of your process, with you reviewing the output. The work, fee and review measures would be agreed in writing before you commit.

I work with you by email to understand the task and define the rules before anything goes live. You decide whether the proposed scope and fee make sense.

Before we
work together.

How will I know whether it helps?

Set a baseline and choose measures for the task: missing details collected, follow-ups completed, record accuracy and staff time. A pilot proposal will specify what is tracked and how you can review it.

Where does AI fit?

In a pilot, AI could help organise enquiry details and draft messages for review. That would be tested on realistic samples before live use, with a person checking the output. The demo uses fixed rules, not AI. Your team keeps technical advice, pricing and commercial decisions.

Who can see our customer data?

Before a pilot touches customer information, I would set out who can access it, the providers involved, processing locations, training restrictions and retention. These arrangements are not yet final. Please do not send customer records in an initial enquiry.

Will you contact our customers directly?

The proposed starting point is draft-only: I prepare messages for your team to approve and send. Any later permission to send on your behalf would need a separate agreement covering the sender, wording, approvals and escalation.

Is this software or an AI receptionist?

Conduvara is a managed service with a named person responsible for the agreed administration and review. The examples show the process, not a software subscription. Basic tools may be sufficient and cheaper; a pilot needs to establish whether managed support adds value.

Does every customer need a different setup?

The planned approach uses a shared workflow, configured with your fields, rules, wording and review owners. An export from your CRM or inbox may be enough for a first pilot. A new integration needs its own scope.

Why not just hire someone?

If you have steady, high volume and want someone in your team, hiring may be the right answer. This service is for handing over a defined slice of the admin without recruiting for it, with a person responsible for review. A pilot would test whether that’s worthwhile for you.

What happens if you’re unavailable?

I’m not offering round-the-clock cover. Coverage, handover and escalation would be agreed in writing before a pilot starts.

What does a pilot cost, and can we stop?

The proposal sets out the fee, duration, review point, cancellation terms and how access and data are returned or removed. Emailing me commits you to nothing.

Can an agency introduce a client?

Yes. Email me about the type of business and the admin involved. I’d agree roles and client permission with you before any introduction or access. Customer information isn’t needed in the first email.

Where does your sales
admin build up?

Tell me what your business sells and which task needs more attention. A short email is enough to begin.
